Dream 100 Realtor Outreach Campaign

The key to winning a Realtor’s business is follow up. On average, it takes 8 touches to get a meeting with a prospect in a B2B Sales Situation. So, if you want to win business from Realtors, then you must follow up.

We built out an 11 step campaign to help you do that. It includes everything you need to reach out to your Dream 100 consistently and get meetings. It starts with a physical snail-mail letter and continues with emails, phone calls, voicemails, and text messages.

Your goal with each contact is to get a “Coffee Date” meeting with the Realtor. If the Realtor tells you “Not Interested”, then thank them for their time and take them off the campaign.

We’ve even established a timeline, so you know exactly when to follow up with the next letter, email or phone call. I recommend tracking your contacts and activities in your CRM.

Day 1: Mail your first letter

We’ve found that a Snail-Mail Letter like this stands out because so few people send physical mail anymore.  

So, download this letter, add the image of your Loan Education Package, edit your information, and mail it to the Realtor.

Day 8: Send your first email

By now the Realtor will have received your letter. So, now it’s time to follow up by email. If they’re interested, it’s super easy to reply to an email. 

So, send the Realtor the email below. If they don’t respond, then continue with the campaign below. 

Note: We recommend sending no more than 20 emails per day, so you don’t negatively impact your emailing reputation.

Day 9: Make your first phone call

By now the Realtor will have received your letter and email. They’ve seen your offer and are now a “Warm Lead” for you to call. 

So, call the Realtor using the script below. If they don’t answer (most won’t), then leave them a voicemail, and continue with the campaign below.

Realtor Call Script

Hi, is this [First name of Prospect]?

Wait for response, then say:

Hey [name of prospect]! This is [your name]. I’m a Loan Officer at [Company Name]. I sent you an email about my Co-Branded Loan Education Packet that you can provide to your buyers. Do you remember getting that?  

Wait for response:

If they say “Yes”, then say:

Great! It’s a new resource I put together that will help you get your buyers pre-approved quickly and easily, and also answer any question they have about the mortgage process. I want to meet with you for 20 minutes and show you how it works. I can meet for coffee or at your office - whichever is convenient for you. When do you have 20 minutes available to meet?

If they say “Yes”, then schedule an appt. If they say “No”, then thank them for their time and put them into a file to re-activate this campaign in 6 months. 

If they say "No" then say:

Ok. This is a new resource I put together that will help you get your buyers pre-approved quickly and easily, and also answer any question they have about the mortgage process. I want to send you a sample so you can check it out. What’s the best email to email you at?

Get their email, resend the first email, and then follow up with them again using the script above.

Voicemail Script

Hi, [First name]! This is [your name] calling from [Company Name]. I’m following up on the Buyer Loan Education Packet I sent out to you. I was calling to see if you wanted to get a co-branded version of that for yourself. Give me a call back at [your Phone Number] and I’ll show you how to do that. Thanks.

Day 10: Send your first text message

Follow up on yesterday’s phone call with a simple text message. You can text up to 20 Realtors at a time by simply copying and pasting the text messages into your phone. If the Realtor doesn’t reply, then simply continue with the campaign below.

Text Message Template

Hey, it’s [Your Name] with [Your Company Name]. Did you get the Loan Education Packet I sent you? BTW, this is actually me texting you. If you don’t want any more texts, reply “Stop.”

If they reply “Yes”, then text:

Ok. Would you like me to put together a co-branded version of that for you to share with your buyers? 

If they say “Yes”, then text: 

I want to meet with you for 20 minutes and show you how it works. I can meet for coffee or at your office - whichever is convenient for you. When do you have 20 minutes available to meet? 

If they say “No”, then thank them for their time and put them into a file to re-activate this campaign in 6 months.  

If they say “No”, then text:

Day 13: Send your second email

Persistence is key. So, don’t stop now. Remember, 80% of salespeople give up after the first 3 contact attempts. Continue following up until you reach the Realtor and get a “Coffee Date” or a definitive “Not Interested.”

Send the Realtor the email below. If they don’t respond, then continue with the campaign below.

Day 14: Make your second phone call

Rejection is no fun. But, that doesn’t mean you should stop now. If nothing else, the Realtor is going to be impressed by your persistence. And, if they raise any objections, you can always reply, “You’ve seen how much I’ve followed up to try and reach you. Imagine how hard I’ll follow up on your buyer’s loan.”

So, call the Realtor using the script below. If they don’t answer (most won’t), then leave them a voicemail, and continue with the campaign below.

Hi, is this [First name of Prospect]?

Day 16: Mail your second letter

Ok, we’re on the home stretch now. We’ll put the Realtor through one more round of contact attempts with one more letter, email, phone call/voicemail, and text message. 

Don’t stop now. Remember that most of your competition has fallen by the wayside. 

So, download this letter, add the image of your Loan Education Package, edit your information, and mail it to the Realtor.

Day 23: Send your third email

Persistence is key. Remember, 80% of salespeople give up after the first 3 contact attempts. By now, the Realtor has received 2 letters, 2 emails, 2 phone calls and voicemail messages, and 2 text messages. 

You’ve invested a lot of time and energy to get to this point. Don’t give up and stop. At this point, the Realtor is going to be shocked that you’re still following up. 

So, continue following up until you reach the Realtor and get a “Coffee Date” or a definitive “Not Interested.” 

Send the Realtor the email below. If they don’t respond, then continue with the campaign below.

Day 24: Make your third phone call

Keep going. You’re on the home stretch and this is your final phone call to the Realtor. If they haven’t responded to you yet, then there must be something wrong with them. 

So, call the Realtor using the script below. If they don’t answer (most won’t), then leave them a voicemail, and continue with the campaign below.

Ok, we’re almost done. It’s time to send the Realtor your last text and then move them into the Authorify Follow up Campaign. We’ll start sending them weekly emails to continue following up with them.
